- 00:00Ok ,Tom the success of remote work has a lot to do with coordination.
- 00:05Which tools are there to help us in coordinating the work?
- 00:08Ok, so in this video we will be talking about
- 00:11project management tools, which are helping us to coordinate
- 00:14the work, and then we also will have a look at scheduling tools,
- 00:17which are helping us to coordinate meetings.
- 00:20Face-to-face meetings. Ok. Online supported face-to-face
- 00:24meetings. So let's start with the project management tools
- 00:29I mean we need somehow to keep teams on track, we need
- 00:34somehow to schedule deadlines, we need
- 00:38to integrate all these other tools that we've
- 00:40been talking about, particularly if we're not using the big
- 00:44office suites by the big players,
- 00:49It can come very handy to
- 00:54have a tool that helps us to integrate all these other
- 00:57tools, that helps us to set the deadlines, that helps us too
- 01:01set the milestones, and all these all these things. Basic
- 01:04project management. Tools that help you,
- 01:08also if you're working not remote, but
- 01:12in an office locally. So you,
- 01:15probably, know Microsoft Project.
- 01:19Exactly, tools similar to this one.
- 01:23But the tools that we want to introduce here
- 01:27are cloud-based. And again same issues as with all the
- 01:31other tools, privacy, security, and so on...
- 01:35depending on your plans, paid plans, free plans ... your needs ... and so on.
- 01:40Yeah so, we have a couple of options here , we just
- 01:46listed a few of them, maybe you know others? We will
- 01:50invite you again to contribute, and they
- 01:55help you to do all these planning things... It means that
- 01:58if i'm part of a team, i can see all the time what the other
- 02:01people are doing? We can we can share with each other what
- 02:04is the overview of the whole project? Exactly, i mean we've seen
- 02:07this Kanban boards in one of previous videos, normally
- 02:11these tools includes something like a Kanban board, they include
- 02:14Gantt charts, all the tools that you know.
- 02:17I believe the coordination will be extremely useful because
- 02:20if you finish one task and after that, I shall continue then
- 02:24I will receive a notification or something like that,
- 02:26in order to continue with my task... Exactly, I
- 02:29mean it's all about configuration,
- 02:32All of these tools have sort of hooks,
- 02:36where you can combine them with the other tools.
- 02:39For example if you have
- 02:42your ticketing tool and then you say: well this ticket
- 02:46it is done then it can directly send a message to the
- 02:51Kanban board so that it moves the item from one column of the Kanban Board
- 02:54to the next one. It can send an email to the team
- 02:58leader so that the team leader knows that you need a new task.
- 03:02But it's all configuration ... But in the remote structure,
- 03:05in the remote environment it is extremely important,
- 03:08this kind of coordination. At the office we will not have that problem
- 03:11because, ok i tell the other person that I'm done, but in a
- 03:15remote structure is by far more complex.
- 03:17Definitely, and so this is really important to have these
- 03:19notifications set up correctly.
- 03:23I mean, you also need to make sure that you don't get too
- 03:27much of these notifications, because then at
- 03:30some point you can will be completely ....
- 03:34overloaded with that and just a ...
- 03:37I mean, i've been doing that myself, just kind of make a rule
- 03:40in your e-mail client to move these notifications directly to the spam folder or some other
- 03:45folder, which is not a spam folder but which is
- 03:47as good as the spam folder because
- 03:49you don't see them anymore. Ok. So yeah,
- 03:55let's go to the to the other kind of tools that we've been
- 03:59a announcing the scheduling tools.
- 04:02And these are very important if you, i mean,
- 04:06as we said in the first video about the video calls,
- 04:10the video chats, you need to schedule these meetings.
- 04:14It's not that you can just go online and then....
- 04:19so that you have everyone there, not just two of the ten people that you wanted
- 04:22to have ... Exactly and particularly if you're working in
- 04:25remote teams, with team members in different time
- 04:30zones there's one tool, which really, sometimes it
- 04:34really can get complicated to find a time slot where all
- 04:38of them are awake, I mean normally you should try to....
- 04:44Sometimes it doesn't work, but we will see that in a demo. There's
- 04:47one tool, which I really like, which i use very often
- 04:50and this really helps you to schedule
- 04:55these meetings.
- 05:01You can see it's a little online tool.
- 05:07I mean, normally, there's not so much privacy concerns here,
- 05:12you don't enter the addresses of your
- 05:15team members, it's just a couple of cities, time zones, so
- 05:18that should be fine... So that is where the people are located
- 05:22with whom you want to talk?... Exactly so if you want to schedule a
- 05:26meeting with, Ii mean, let's imagine you have a team, someone
- 05:29is sitting in San Francisco, someone is sitting in Berlin, someone
- 05:32sitting London, someone sitting in Moscow. With all these different
- 05:35time zones it can become a little
- 05:38difficult. There's other tools which help you with that ...
- 05:42timeanddate.com ... for example, which help you
- 05:44to figure out the time zones and then you could
- 05:48check them, but this tool is really handy. Because
- 05:51you just go and say well San Francisco,
- 05:59then we have one person sitting in Berlin,
- 06:08Germany, another one in London
- 06:16and someone in Moscow.
- 06:24And then you see, what you need to do now is just
- 06:27like find the green line ... OK, in all the cities...
- 06:32Obviously we have a problem here because there is no green
- 06:35line, I mean that happens if you have teams,
- 06:38distributed teams in different time zones, but still
- 06:40there is an area where you could say that
- 06:44this is still ok ... You try to avoid the red ones?...
- 06:48You try to avoid red ones because then somebody has to
- 06:51get up in the middle of the night.... OK, I understand.
- 06:54But then the yellows are still not, the yellows are stillnot working
- 06:58hours anymore, but it's still ... Yeah you
- 07:00can wake up at seven then you can have a meeting at seven, but
- 07:03much better than waking up at three or two in the morning.
- 07:05OK that's great!
- 07:13OK, it means that date and time they also play a role in coordinating
- 07:17the teams and, therefore, these scheduling tools are also important
- 07:20for setting up the meetings. Otherwise you will have only half of the people
- 07:23that you need to in the meetings.... Exactly!
- 07:25Probably the community has experience
- 07:29to use other tools,
- 07:33other project management tools that also help teams

- In the video we state that these tools are way more important if you're working remotely, compared to working in a traditional office setting. While this is basically true, we would like to emphasize that these tools are, obviously, very handy in traditional office settings as well.
